Feature

Janitorial Bidding Software

Build accurate, profitable bids during the walkthrough. Every line is priced from your production rates, loaded labor cost, and target margin, so the number you send is a number you can live with.

Why cleaning companies move their bidding into GrowClean

Bid while you are still on site

Walk the building with your phone or tablet, add each area as you go, and finish the quote before you reach the parking lot. Alpine Cleaning cut its turnaround from five days to one.

Margin control on every line

You set a profit margin and a loaded labor cost once. Every service you add is priced to hit that margin, so a new estimator cannot accidentally give work away.

Area-by-area pricing

Break the building into offices, restrooms, break rooms, and lobbies. Each area carries its own services, quantities, and frequencies, and the totals roll up automatically.

Photo-assisted scoping

Snap a photo of a space and GrowClean suggests the space type, the tasks it needs, a cleaning frequency, and the matching service from your price list. You review and accept what fits.

Workflow walkthrough

From walkthrough to priced quote in four steps

The quote builder follows the order you already work in on a walkthrough. Here is what each step asks for and what you see on screen.

  1. 01

    Client information

Pick an existing company or add a new one with its contact person, then choose the quote type. Client details are saved, so the next bid for the same property manager starts with everything filled in.

    On screen

    • Company and contact selector
    • Quote type
    • Add new client inline
  2. 02

    Quote details

Name the quote, enter the service address, and set the agreement start and end dates. Add service windows for each weekday so your crew and the client agree on when the building is cleaned. Your cover letter, terms, "why choose us" and services text are filled in from your saved defaults, and quotes expire after 30 days unless you change it.

    On screen

    • Address and agreement dates
    • Service windows, Monday to Sunday
    • Cover letter and terms
    • Expiration date (30 days by default)
  3. 03

    Areas and services

Add each area of the building and attach photos as you walk. For every area, add services with a quantity, usually square feet or fixture counts, and a frequency such as five times a week. One-time work like a floor strip and wax can be added beside the recurring scope. Load task lists from room presets, or let photo analysis suggest them.

    On screen

    • Area list with photos
    • Service, quantity and frequency per line
    • One-time service toggle
    • Room presets and AI photo suggestions
  4. 04

    Review and finalize

See the full scope and the monthly price before anything goes to the client. Each recurring line is priced as hours (quantity divided by production rate) times your loaded labor cost times the monthly visit count, then marked up to your target margin. Adjust anything that looks off, then send it as a branded proposal.

    On screen

    • Line-by-line price breakdown
    • Monthly total
    • Send proposal for e-signature

Margin improvement

Alpine Cleaning, a 20+ person commercial cleaning company in Spokane Valley, Washington, built GrowClean to fix its own bidding. Proposals used to take five days and won 15 percent of the time. With every bid priced from the same production rates and margin, turnaround dropped to one day, the win rate more than doubled, and margins rose 10 percent. See the bidding method in our guide

Why the pricing math matters more than the software

Most underpriced bids come from one of two mistakes: pricing from the hourly wage instead of the loaded labor cost, or using one production rate for every kind of space. A cleaner paid $17 an hour can cost $22 or more once payroll taxes, workers comp, and paid time off are added. A restroom takes far longer per square foot than an open office.

GrowClean fixes both by storing a production rate on each service and a loaded labor cost on each service category. A 20,000 square foot office cleaned five nights a week at 4,000 square feet per hour comes to 5 hours a visit, or about 108 labor hours a month at 21.67 visits. At $22 an hour that is roughly $2,380 in labor, and at a 20 percent margin the price lands near $2,980 a month. The math is the same every time, whoever runs the walkthrough.

If you want to test the numbers before signing up, the free janitorial bid calculator uses the same approach.

Frequently asked questions

It is software that turns a building walkthrough into a priced cleaning quote. Instead of a spreadsheet, you enter areas, services, quantities, and frequencies, and the software calculates labor hours, cost, and a price that hits your margin.

For each recurring service, hours equal the quantity divided by your production rate. Hours are multiplied by the loaded labor cost for that service category and by the monthly visit count, for example 21.67 for five times a week. The cost is then divided by one minus your profit margin to get the price.

Yes. Production rates are set per service, so you can use your own measured rates for offices, restrooms, medical spaces, or floor care instead of industry averages.

Yes. GrowClean runs in the browser on phones, tablets, and laptops. You can add areas and take photos on site, then review the price on the same device.

Upload a photo of a space and GrowClean suggests the space type, the cleaning tasks it needs, a frequency, a quantity, and which service in your price list matches. Nothing is added to the quote until you accept it.

Yes. Any service can be marked as one-time, so project work is quoted alongside the recurring monthly scope.
